Room and Equipment Reservations: Chemistry Department

  • View Calendar of Current Reservations
    • Select "Chemistry Department at Brown University" from pop-up list
    • Select the appropriate month/year
    • Review the events scheduled on the day(s) you want so you can check for conflicts.
    • To make a resource reservation (specify date, time, room, equipment):
      click Add Event
    • Complete the on-line request form
    • Click on the "Submit Event" button

If there is a scheduling conflict, you will be notified immediately and given the opportunity to change your request. If no scheduling conflicts exist, you will be notified immediately that your request is pending approval.

Once approved, you will receive an email confirming your request (usually within 6 hours during the regular office hours of M-F, 8:30 AM-4:30 PM). All approved events are automatically published on the appropriate calendar(s).

RESOURCE DESCRIPTIONS (see scheduling guidelines)

GC 246 seats 19 in a conference set-up around a large table. It has wireless access, an overhead projector, screen and Expo board. This room is intended for seminars, meetings, and other similar activities.

GC 349 seats 12 people around a large table with extra couches along one wall. It has a small kitchen setup. It also has wireless access. This room is intended for receptions, meetings, and other similar activities. This room may be used in conjunction with GC 351.

GC 351 has 34 deskchairs in a classroom set-up. It has wireless access, overhead and ceiling computer projectors as well as appropriate screens and chaulk boards. This room is intended for classes, seminars, meetings, and other similar activities. It may be combined with GC 349 for special meetings.

GC 449 seats 15 in a conference or small classroom set-up. It has wireless access as well as an overhead projector, screen and a chaulk board. This room is intended for study groups, small classes, meetings and other similar activities.

MM 317 seats 25 in a classroom set-up. It has wireless access, overhead and computer projectors as well as the appropriate screens and chaulk boards. This room is intended for seminars, meetings, and other similar activities. Approval of this room must be obtained through Geological Sciences which can be done through the Resource Calendar for Chemistry.

MM 115seats 110 in a curved classroom set-up. It has wireless access, overhead, computer, and slide projectors as well as the appropriate screens and chaulk boards. DVD, video and 35mm projection is also available.*Reservations for MM 115 must be made through Brown's Scheduling Office. Or chem staff can make requests for members of the Chemistry Department if provided with the specific date(s), time(s), and event title(s).

MM 117seats 293 in a tierd classroom set-up. It has wireless access, overhead, computer, and slide projectors as well as the appropriate screens and a chaulk boards. DVD, video and 35mm projection is also available. NO FOOD ALLOWED. *Reservations for MM 117 must be made through Brown's Scheduling Office. Or chem staff can make requests for members of the Chemistry Department if provided with the specific date(s), time(s), and event title(s).


ADDITIONAL RESOURCES FOR DEPARTMENT OF CHEMISTRY ONLY:

LAPTOP:The laptop is available only for special events. Requests must be made well in advance to free up the laptop for use.

COMPUTER PROJECTOR: There are three Epson projector available for use. The are Models EMP-74, EMP 800UG and EMP-821.

PROCEDURES:

  1. To request a reservation, click on Calendar, and confirm that the room and/or resource (equipment) you want is available at the time you are requesting. Go BACK, and click on Reservation Request, fill in the information requested on the form and Sumit Event. Be sure you are adding the event to the Chemistry Department calendar. If there are no conflicts, staff in Chemistry's main office will confirm your reservation via e-mail within 6 hours during a regular work week (M-F, 8:30am-4:30pm). Guidelines used in deciding between competing requests include those mentioned under "scheduling guidelines" below. Please note that all confirmations are subject to change.
  2. If you plan on using any available audio-visual equipment within GeoChem or MacMillan Hall, please make arrangements for an experienced A/V person to assist you.
  3. Reservations for MM 115, MM 117, Barus & Holley, or other university rooms, must be made through Brown's Scheduling Office. Or chem staff can make requests for members of the Chemistry Department if provided with the specific date(s), time(s), and event title(s).
  4. No food or drinks are allowed in MM 117. You can reserve the use the MacMillan Hall lobby to set up refreshments by using Facilities Management's on-line Service Request Form; indicate the MM 117A or MM 117C corridor for food/drink set-up.

SCHEDULING GUIDELINES:

The specified rooms in GeoChem and MacMillan Hall are intended to meet the longstanding needs of the Department of Geological Sciences, Chemistry, Center for Environmental Studies (CES) and the Environmental Change Initiative (ECI) for seminars, colloquia, conferences, and meetings. These rooms are also available for use by other departments, campus-wide, when not being used by Geology, Chemistry, CES or ECI. Please note that after-hours building access will need to be arranged for those not affiliated with the above mentioned departments; contact Brown's Public Safety Office for assistance with after-hours building access.

To minimize scheduling conflicts, those requesting resources are asked to book only for those times for which there is a very high likelihood that the planned activity will take place and to release the scheduled time as soon as it is known that a scheduled activity will not take place. Secondly, users reserving rooms should also understand that there may be times when they will be asked to reschedule or relocate their activity because the room is needed for another activity that is regarded as having higher priority. For example, regularly scheduled research meetings may have to be moved to accommodate an unanticipated seminar schedule change. If scheduling conflicts arise that cannot readily be resolved to the satisfaction of the users involved, then these conflicts will be referred to the Chair of Chemistry Dept., who, in consultation with the chairs or directors of the departments with competing claims, will make the final decision.
